Problem Statement

Procurement leaders need a way to create quick, reliable RFPs that drive vendor engagement but also allow the use of tried and true RFP creation methods.

Empathize

User

Procurement leader who has a long established procurement process that uses various tools and mediums.

Says

"I am not ready to overhaul my process but I am looking for ways to be more efficient and find better vendors."

-Procurement Leader

Thinks

  • They are not meeting potential on certain products because the procurement cycle takes a long time

Does

  • Opens Google Docs to draft an outline for an RFP.

  • Uses notepads, post it notes, pen and paper, and email to draft RFPs

  • Delegates to other team members to finish tasks and pull up information

  • Has a list of vendors that they work with regularly

Feels

  • Frustrated that they have to use different tools

  • Low confidence in digital solutions that have been proposed to them

Define

Procurement leaders need a simple way to build and share RFPs that combines modern technological tools and the ability to continue using current tools that best serve their current process.

Ideate

Original ideas for RFP form building revolved around a fully customizable, drag and drop solution that allowed users to set document details, scoring weight, and editing at a section by section level. It quickly became apparent after testing this that this approach was cumbersome for users who were used to more pen and paper methods.

We quickly pivoted to a more form based approach. This allowed users to set standard fields with easy to scan details but also include attachments for additional clarity. This hybrid method has tested well and also allows us room to build out more customization in the future.
